New Installation Guide for Partners: Site Survey, BOQ & Setup

Overview

This guide is intended for Vemco partners, resellers, and system integrators who need to initiate new installation projects — including site surveys, Bills of Quantities (BOQs), sensor orders, and installation tracking. Following this process helps ensure faster turnaround and fewer back-and-forth communications.

Step 1: Site Survey Request

Before any installation can begin, a site survey is required to assess the physical environment and determine the correct sensor placement, quantity, and model.

What to Include in a Site Survey Request

  • Project name and location address

  • Floor plan or entrance drawings — PDF or CAD format preferred, showing all entrances, ceiling heights, and any obstructions

  • Number of entrances to be covered

  • Ceiling height at each entrance

  • Type of installation: retail store, shopping mall, library, airport, event venue, etc.

  • Required analytics: basic footfall only, or additional features such as zone mapping, demographics (age/gender), live occupancy, or dwell time

  • Preferred survey date and on-site contact person

Submit the request to your regional Vemco contact or to support@vemcogroup.com.

Step 2: Bill of Quantities (BOQ)

Following the site survey, Vemco will prepare a BOQ listing the recommended sensor models, quantities, mounting hardware, and associated software licenses.

Reviewing the BOQ

  • Review sensor model specifications against the entrance dimensions and ceiling heights confirmed during the survey.

  • Confirm the analytics modules required (standard footfall, demographics, zone analytics, live occupancy).

  • Approve or request revisions before proceeding to order.

Requesting BOQ Revisions

If the scope changes after the initial BOQ (e.g. additional entrances added, layout change), submit a revision request referencing the original BOQ number or project name.

Step 3: Sensor Order

Once the BOQ is approved, sensors and accessories can be ordered through the Vemco web shop or via your regional account manager. For partner orders, reference the project name in the order notes to link the hardware to the installation ticket.

Order Tracking

  • Orders are shipped via FedEx International Priority or equivalent.

  • Tracking information is shared once the shipment is dispatched.

  • For international shipments, customs clearance may cause delays — allow extra time for deliveries to markets with complex import procedures.

  • For shipment issues (customs hold, lost package), open a support ticket referencing the FedEx tracking number.

Step 4: Installation & Configuration

Pre-Installation Checklist

Before the installation date, confirm the following on-site:

  • Power supply (PoE switch or power adapter) is available at each sensor mounting point

  • Ethernet cabling is run to each mounting point (minimum Cat5e)

  • Internet connectivity is available and stable at the installation site

  • The installation area is accessible (no active construction or restricted access)

  • A Vemcount account has been created for the location (or request creation in advance)

During Installation

  • Mount sensors at the recommended height and angle as specified in the BOQ.

  • Connect to the local network and verify the sensor appears online in the Vemcount platform.

  • Perform initial calibration — set the counting line position and direction.

  • Run a live count verification: manually count people entering and exiting and compare against Vemcount live data.

Post-Installation Validation

  • Monitor the installation for 24–48 hours to confirm stable data collection.

  • Check the IN/OUT balance for any significant discrepancies (see the Sensor Health-Check Alerts article).

  • Submit a validation ticket to Vemco support confirming the installation is complete and requesting a final configuration review if needed.

Step 5: Handover to Client

Once the installation is validated:

  • Create Vemcount user accounts for all client-side users (see the User Management article).

  • Conduct a platform walkthrough or training session for the client team.

  • Share relevant help articles and support contact details.

  • Confirm health-check alert recipients have been configured.

Tracking Your Installation Projects

All installation-related communications (survey, BOQ, shipping, configuration, validation) should reference a single project name or ticket number. This allows the Vemco team to link all steps and avoid duplication. If you are managing multiple concurrent installations, use clear project identifiers in every ticket subject line.
